Impromptu speaking in a business setting can be the most important and impactful verbal communication you will ever make. This applies in both face-to-face and virtual discussions; and internally and externally. Yet many people handle this badly. They either aren't adequately prepared for meetings (especially internally), or they may not speak up. It's easy to fall into the trap of thinking the agenda doesn't involve you directly – but the conversation might swing your will. Failure to make a valuable contribution, even with an informal comment, could cause executive management or clients to doubt your effectiveness, which could hinder your career advancement.
Why talk so loud? One of the main causes is not having enough time to prepare. People don't necessarily have a framework for dealing with impromptu speaking, so they just say whatever is on their mind, good or bad. Fortunately, the framework below shows you how to speak face-to-face, and you can practice the situation on your own time.
Another reason people don't get better at spontaneous or impromptu speech is that they avoid those situations as much as possible, especially introverts. Renowned introvert Susan Cain, a successful author and speaker, suggested taking on the role. In fact, many good actors have stepped onto the "bigger stage" with great success; You'd never know they're basically closed off. These include Glenn Close, Clint Eastwood, Harrison Ford, Tom Hanks, Audrey Hepburn, Helen Hunt, Steve Martin, Gwyneth Paltrow, Julia Roberts, and Meryl Streep. So, in some ways, speaking is a show, and like any other skill, you get better at it. So don't blend in with the wallpaper at your next gathering; don't wait to be asked to share your impromptu thoughts! Practice this important skill and you'll communicate that you are proactive and engaged in your work – quite a combination!
Everyone in a managerial or supervisory role is called upon to speak impromptu or spontaneously. This is even more common during remote work and hybrid meetings during the COVID-19 pandemic. Team leaders are obliged to think quickly – so to speak – because of the long-distance nature of contact and unexpected questions.
Plus, everyone on your team may need to use structure as a guide for dealing with people in basic situations like phone conversations or job interviews. Team members are expected to speak in their own team meetings as well as in cross-collaboration meetings with people from other departments. Unless you have a flexible response or formula to use in this situation, you're likely to feel uncomfortable and appear pressured by others.
